Please read these terms carefully before placing a rental order or engaging our services. By proceeding with a reservation, you agree to be bound by the following terms.
Agreement to Terms
By placing a rental order, submitting a reservation inquiry, or otherwise engaging the services of Olympus Tents and Events ("Company," "we," "us," or "our"), you ("Customer," "Client," or "you") acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions in their entirety. These Terms and Conditions constitute a legally binding agreement between you and Olympus Tents and Events. If you do not agree with any portion of these terms, you must not proceed with a reservation or rental.
These Terms and Conditions apply to all rentals of tents, tables, chairs, linens, tabletop items, arches, accessories, and any other equipment or services provided by Olympus Tents and Events.
Rental Agreement & Reservations
2.1 Reservation Process
All reservations must be confirmed in writing, either via email or through our online booking system. A reservation is not considered confirmed until the Customer has received written confirmation from Olympus Tents and Events and the required deposit has been received.
2.2 Rental Period
The rental period begins at the time of delivery or customer pick-up and ends at the agreed-upon time of return or pick-up by Olympus Tents and Events. Equipment must be available for pick-up at the agreed-upon time. Extended rental periods must be arranged in advance and may be subject to additional fees.
2.3 Accuracy of Order
It is the Customer's responsibility to verify that all items listed in the rental order confirmation are accurate, including quantities, item descriptions, delivery address, event date, and event time. Any discrepancies must be reported to Olympus Tents and Events within 24 hours of receiving the confirmation. The Company is not responsible for errors that are not reported within this timeframe.
Deposits, Payments & Pricing
3.1 Deposit Requirement
A non-refundable deposit is required at the time of booking to secure your reservation. The deposit amount will be communicated at the time of booking and is applied toward the total rental balance. No reservation will be held without a paid deposit.
3.2 Final Payment
The remaining balance of the rental order is due no later than 14 days prior to the event date, unless otherwise agreed upon in writing. Failure to remit final payment by the due date may result in cancellation of the reservation, and the deposit will be forfeited.
3.3 Pricing
All prices listed on our website or provided in quotes are subject to change without notice until a reservation is confirmed and a deposit is received. Quoted prices are valid for 30 days from the date of the quote. Olympus Tents and Events reserves the right to adjust pricing for fuel surcharges, delivery distance, or other variable costs, which will be disclosed to the Customer prior to confirmation.
3.4 Accepted Payment Methods
Olympus Tents and Events accepts payment via credit card, debit card, check, and other methods as communicated at the time of booking. Returned checks will be subject to a returned check fee of $35.00, and the Customer will be required to remit payment via an alternative method.
Cancellations & Modifications
4.1 Customer Cancellations
All cancellations must be submitted in writing to [email protected]. The following cancellation policy applies:

The deposit is non-refundable under all circumstances.
4.2 Order Modifications
Customers may request modifications to their rental order (additions, removals, or substitutions) up to 14 days prior to the event date, subject to availability. Modifications requested within 14 days of the event are not guaranteed and may be subject to additional fees. Reductions in order quantity within 14 days of the event will not result in a refund of amounts already paid.
4.3 Company-Initiated Cancellations
Olympus Tents and Events reserves the right to cancel a reservation in the event of circumstances beyond our control, including but not limited to severe weather, natural disasters, acts of God, equipment failure, or other force majeure events. In such cases, the Company will provide a full refund of all payments made, including the deposit, and will not be liable for any additional damages or losses incurred by the Customer.
Delivery, Setup & Pick-Up
5.1 Service Area
Olympus Tents and Events provides delivery and setup services throughout Utah, from the northernmost part of the state to St. George and beyond. We also serve select events in Wyoming and Idaho. Delivery fees are calculated based on distance from our Murray, UT location and will be disclosed prior to reservation confirmation.
5.2 Delivery and Setup
Delivery and setup times will be coordinated with the Customer in advance. The Customer or an authorized representative must be present at the delivery location during the scheduled delivery window. If no authorized representative is present, Olympus Tents and Events may reschedule delivery, and additional fees may apply.
5.3 Site Preparation
The Customer is responsible for ensuring that the delivery site is accessible, clear of obstructions, and safe for setup prior to the scheduled delivery time. This includes, but is not limited to, clearing the area of vehicles, debris, and other hazards. Olympus Tents and Events reserves the right to refuse setup if site conditions are deemed unsafe or unsuitable, without refund of payments made.
5.4 Utilities and Underground Hazards
The Customer is responsible for identifying and marking all underground utilities, irrigation systems, sprinkler heads, and other underground hazards prior to tent installation. Olympus Tents and Events will not be held liable for any damage to underground utilities or property resulting from the Customer's failure to provide this information.
5.5 Pick-Up and Return
All rental items must be returned in the same condition as delivered, properly stacked, and ready for pick-up at the agreed-upon time and location. Items that are not ready for pick-up at the scheduled time may incur additional fees. Rental items must not be moved from the original delivery location without prior written approval from Olympus Tents and Events.
Damage, Loss & Liability
6.1 Customer Responsibility
The Customer assumes full responsibility for all rental equipment from the time of delivery or pick-up until the time of return or Company pick-up. This includes responsibility for any damage, loss, theft, or destruction of rental items, regardless of cause.
6.2 Damage Assessment
Upon return or pick-up of rental items, Olympus Tents and Events will inspect all equipment for damage. The Customer will be charged for any damage beyond normal wear and tear, including but not limited to tears, burns, stains, broken components, and structural damage. Damage charges will be assessed at the replacement or repair cost of the affected item(s), as determined solely by Olympus Tents and Events.
6.3 Cleaning Fees
Rental items are expected to be returned in a reasonably clean condition. Excessive soiling, staining, or contamination of linens, tabletop items, or other equipment may result in additional cleaning fees. Linens that are returned with wax, mold, mildew, or irreparable staining will be charged at full replacement cost.
6.4 Loss or Theft
In the event of loss or theft of any rental item, the Customer will be charged the full replacement cost of the item(s) as determined by Olympus Tents and Events.
6.5 Damage Waiver
Olympus Tents and Events may offer an optional damage waiver at the time of booking, which provides limited coverage for accidental damage to rental items. The damage waiver does not cover intentional damage, theft, loss, or damage resulting from misuse or negligence. Details of the damage waiver, including coverage limits and exclusions, will be provided at the time of booking.
Tent Rentals — Specific Terms
7.1 Tent Installation and Wind Loads
Tents are installed in accordance with manufacturer guidelines and applicable safety standards. However, tents are temporary structures and are not designed to withstand extreme weather conditions, including high winds, heavy snow loads, or severe storms. The Customer acknowledges this limitation and agrees that Olympus Tents and Events is not liable for damage or injury resulting from weather events that exceed the design parameters of the tent structure.
7.2 Permits
The Customer is solely responsible for obtaining any and all permits required by local, county, or state authorities for the installation of tents or temporary structures on their property or event venue. Olympus Tents and Events may provide documentation to assist with permit applications upon request but is not responsible for securing permits on the Customer's behalf.
7.3 Tent Use Restrictions
Open flames, including candles and fire pits, must be kept at a safe distance from all tent structures in accordance with fire safety regulations. The Customer is responsible for ensuring compliance with all applicable fire codes and safety regulations during the event. Smoking is prohibited inside or immediately adjacent to tent structures.
7.4 Tent Anchoring
All tents require staking or ballasting for proper installation. The Customer must provide advance notice of any restrictions on staking (e.g., concrete, pavers, underground utilities) so that appropriate anchoring alternatives can be arranged. Additional fees may apply for alternative anchoring methods.
Prohibited Uses
Rental equipment provided by Olympus Tents and Events may not be used for any unlawful purpose or in any manner that could cause damage to persons or property. The following uses are expressly prohibited:
- Subletting, subleasing, or transferring rental equipment to any third party without prior written consent from Olympus Tents and Events.
- Using rental equipment in a manner inconsistent with its intended purpose.
- Overloading tables, chairs, or other structural items beyond their rated weight capacity.
- Attaching items to tent structures in a manner that could compromise their structural integrity.
- Using rental items at a location other than the approved event address without prior written approval.
Limitation of Liability
To the fullest extent permitted by applicable law, Olympus Tents and Events shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to the rental of equipment or the provision of services, including but not limited to loss of profits, loss of revenue, loss of data, or loss of enjoyment of an event.
The total liability of Olympus Tents and Events to the Customer for any claim arising out of or related to these Terms and Conditions or the rental of equipment shall not exceed the total amount paid by the Customer for the specific rental order giving rise to the claim.
Nothing in these Terms and Conditions shall limit or exclude liability for death or personal injury caused by the gross negligence or willful misconduct of Olympus Tents and Events.
Indemnification
The Customer agrees to indemnify, defend, and hold harmless Olympus Tents and Events, its owners, employees, agents, and representatives from and against any and all claims, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) the Customer's use of rental equipment; (b) the Customer's breach of these Terms and Conditions; (c) any injury to persons or damage to property occurring at the event; or (d) the Customer's failure to comply with applicable laws, regulations, or permit requirements.
Weather Policy
Olympus Tents and Events does not provide refunds or credits due to weather conditions unless the Company itself is unable to fulfill the rental order as a result of weather. The Customer acknowledges that outdoor events carry inherent weather-related risks and that the Company is not responsible for weather impacts on the event. Customers are encouraged to purchase event cancellation insurance to protect against weather-related losses.
Governing Law & Dispute Resolution
These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Utah, without regard to its conflict of law provisions. Any dispute arising out of or related to these Terms and Conditions or the rental of equipment shall be resolved through good-faith negotiation between the parties. If the parties are unable to resolve the dispute through negotiation, the dispute shall be submitted to binding arbitration in Salt Lake County, Utah, in accordance with the rules of the American Arbitration Association. The prevailing party in any arbitration or legal proceeding shall be entitled to recover reasonable attorneys' fees and costs.
Privacy & Communications
By providing your contact information to Olympus Tents and Events, you consent to receiving transactional and account-related communications, including text messages and emails, related to your rental order. If you opt in to marketing communications, you may receive promotional messages, offers, and event-related announcements. Message and data rates may apply for text messages. You may opt out of marketing communications at any time by replying STOP to any text message or by contacting us at [email protected]. Website Use
Access to and use of the Olympus Tents and Events website at www.olympustentsandevents.com is subject to these Terms and Conditions. All content on the website, including text, images, graphics, and product descriptions, is the property of Olympus Tents and Events and is protected by applicable copyright and intellectual property laws. You may not reproduce, distribute, or use any content from the website without prior written permission from Olympus Tents and Events.
Modifications to Terms
Olympus Tents and Events reserves the right to modify these Terms and Conditions at any time. Updated terms will be posted on our website with a revised "Last Updated" date. Continued use of our services following the posting of updated terms constitutes your acceptance of the revised Terms and Conditions. It is the Customer's responsibility to review these terms periodically.
Severability
If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable by a court of competent jurisdiction, such provision shall be modified to the minimum extent necessary to make it enforceable, or severed from these Terms and Conditions if modification is not possible. The remaining provisions shall continue in full force and effect.
Entire Agreement
These Terms and Conditions, together with any rental order confirmation or written agreement signed by both parties, constitute the entire agreement between the Customer and Olympus Tents and Events with respect to the subject matter herein and supersede all prior or contemporaneous agreements, representations, warranties, and understandings, whether written or oral.
